Do you ever feel overwhelmed by your to-do list? The key is not to work harder, but smarter, by prioritizing what truly matters.
Think of your tasks like a basket of fruit: some need immediate attention, while others can wait. Not all tasks have the same urgency or importance.
Urgent vs important: a powerful difference
Avoid the “urgency trap” where immediate tasks, like new emails, distract from important ones. Important tasks push you toward long-term goals.
Here’s how to distinguish:
- Urgent and important: A client project due today. These are top priority.
- Important, but not urgent: Planning for a big project next month. Schedule time for these.
- Urgent, but not important: An email needing a quick reply but not affecting major goals. Delegate these or handle them quickly.
- Not urgent and not important: Scrolling social media. Avoid these.

“Try This!” Challenge: Before finishing work today, list all tasks for tomorrow. Circle or highlight the three most important ones to be your primary focus at the start of your day.
